Customise emails for each course

Alva Courses lets you customise the enrolment email for each course. Welcome self-paced students with course instructions, or send live-class students a Zoom button. Each custom email keeps your shop's branding and course-access button, while courses without custom copy continue using the shop email.

What can you customise?

Each course can save its own subject, title, message, main button text, footer and login hint. The logo, colours and sender name remain shared with the shop email. Customisation applies to enrolment emails, including resends; completion and certificate emails keep their separate settings.

Set up a course email

1. Open the course email editor

Open Alva Courses → Courses, choose a course, then open Settings → Enrollment email → Customize email. You can also choose Customize enrollment email from the course's actions menu.

2. Write the course instructions

The editor starts with your shop email unless the course already has custom copy. Edit the six content fields. Use the variable picker for values such as {course.title} and {customer.first_name}. Clearing the login hint removes that line.

3. Add an optional link button

Enter both a short label and a complete https:// URL. With Zoom connected, choose Insert Zoom meeting and select a meeting or webinar. This adds a second button; the course-access button stays. The URL is literal: variables in it are not replaced.

The Zoom link is saved as a snapshot, so update it here if meeting details change. Duplicating a course also copies its custom email and link; review both before selling the duplicate.

4. Preview, test and save

Check the preview in light and dark mode. Send test email uses your unsaved copy, the real course and a sample student; it does not enrol anyone or save changes. The test access link uses a placeholder code. Save when ready. Test sends are limited to five per shop per hour.

Keep the email within the limits

Character limits: subject and title 300 each; message 10,000; footer 2,000; main button and extra-link label 100 each; login hint 500; URL 2,048. Keep button labels short for Outlook. If the render limit is reached, shorten the message or reduce repeated variables before saving.

Custom wording appears in formatted emails. Plain-text emails keep the standard access message and include your extra link.

Common questions

Will later shop-email edits update this course?

Changes to the shop email's wording do not update a saved custom course email. Brand changes still apply. Choose Reset to shop email and confirm to remove the custom copy and extra link, then follow the current shop email again.

What happens when a customer buys several courses?

Each course with a custom email sends its own message. The remaining courses share the usual consolidated email. A checkout containing a live class and a self-paced course can therefore deliver both the Zoom instructions and the other course's access details.

Can a custom course email bypass disabled emails?

No. Customer enrolment emails still require both shop email delivery and the shop's enrolment template to be enabled. The test-email action remains available so you can check the copy before switching delivery on.

What happens if the shop's plan changes?

Saved custom emails continue to apply after a downgrade. If the shop no longer has an eligible plan, editing and saving are unavailable, but you can still view the email, send a test and reset it to the shop default.
