Email me when a student fails a quiz

Alva Courses sends a Course quiz graded trigger to Shopify Flow for every graded quiz attempt. Add a condition that Passed is false, and Flow’s Send internal email action emails you the student’s score and answers whenever they fail a quiz or run out of time, so you can reach out and help.

What this workflow does

This workflow emails you whenever a student’s quiz attempt in Alva Courses ends without a pass. The email names the student, the course, lesson and quiz, shows their score against the passing score and the attempt number, lists their answers, and links to the lesson.

Passed is false in two cases, and the Result field tells them apart: failed when the student submitted and scored too low, and expired when a timed quiz ran out of time. Both usually mean the student needs a hand. All the fields are in Shopify Flow triggers and their fields.

Build the workflow

1. Create a workflow with the Course quiz graded trigger

In the Shopify admin, open Apps, then Flow, and click Create workflow. Click Select a trigger, find Alva Courses and choose Course quiz graded.

2. Add a condition on Passed

Add a condition after the trigger. Choose the trigger’s Passed field and check that it is equal to false. Steps under the condition’s Then branch run only for attempts that did not pass.

3. Add Send internal email

Under Then, add the action Send internal email. In Email address, enter the address where you answer student questions. To email several people, separate their addresses with commas.

4. Write the subject

In Subject, use Add a variable to build a line that names the student, the quiz and the course, such as: Jane Doe didn’t pass Final quiz (Watercolour 101). Each email is then easy to spot in your inbox.

5. Write the message

In Message, insert these with Add a variable, each on its own labelled line: the customer’s name and email; Quiz title, Lesson title and Course title; Result, Score, Passing score and Attempt number; Answers; and Lesson URL.

6. Name the workflow and turn it on

Name the workflow Email me when a student fails a quiz and click Turn on workflow. Alva Courses only sends Course quiz graded to Flow while a turned-on workflow uses it, so attempts graded before this step send nothing.

When the email arrives

A failed attempt is reported as soon as the student submits it. If a student walks away from a timed quiz, Alva Courses records the attempt as expired, and you are emailed, when the student next comes back to that quiz.

Quizzes with answers you mark by hand are reported after you finish reviewing them, not when the student submits. If you later change a mark and a pass becomes a fail, the workflow runs again and you get an email for the new result.

Answers lists each question with the student’s answer and whether it was correct. Very long answer sets are shortened so the trigger stays within Shopify Flow’s size limit.

Test the workflow

Sign in to your storefront as a test customer and fail a quiz on purpose; the email should follow shortly. If the quiz has a time limit, start another attempt and let the timer run out to see the expired version.

No email? Check the workflow’s recent runs in Shopify Flow. Then open Settings → Integrations → Shopify Flow in Alva Courses: Course quiz graded should show In use and appear under Flow activity → Triggers sent.

Go further

Narrow the alert to one course by adding Course ID is equal to its Flow ID to the condition; Alva Courses lists every Flow ID under Settings → Integrations → Shopify Flow. To keep a record of every attempt, passed or not, see Log quiz results to Google Sheets.
